Position Overview
SACAP (The South African College of Applied Psychology) is the premier independent institution offering approved diplomas in Psychology, Counselling, Human Resource Management, Business Management, and Social Work, with all programs rooted in psychology.
Our campuses are located in Cape Town, Durban, Johannesburg, Pretoria, and online.
SACAP seeks a Receptionist for our Cape Town Campus.
The Frontline Receptionist is tasked with presenting a professional demeanor, whether via telephone or in person, to students, clients, suppliers, staff, instructors, and any other stakeholders.
This role is essential to the college, and the execution of its tasks and responsibilities contributes to its overall success.
This position reports directly to the Operations Manager and collaborates closely with all other campus personnel.
Furthermore, the role encapsulates the college’s vision, goal, and purpose.
The Receptionist is tasked with handling all incoming calls and overseeing the switchboard operations.
The individual is also tasked with supporting general administrative activities across all operational sectors of SACAP, as needed.
Responsibilities:
- Oversee the switchboard with efficiency, effectiveness, courtesy, and promptness.
- Disseminate messages expeditiously (e.g., email or Skype communications to personnel)
- Screen and route all calls to appropriate personnel
- Maintain current listings of all staff contact information, including extension numbers, contact data, educator information, and staff birthday records.
- Channel any inquiries from potential students to the appropriate personnel in the recruitment department.
- Ensure the portable telephone is consistently maintained and charged.
- Oversee and administer security at the entrance/frontline.
- All campus visitors must undergo screening and get assistance in a courteous, pleasant, professional, and amicable way.
- Guide visitors to appropriate staff members. Ensure the availability of pertinent brochures and forms in collaboration with the registrar and marketing manager.
- Address General Inquiries
- Daily transfer of responsibilities to the evening receptionist and guarantee seamless operations till closing.
- Maintaining current voice messages and recordings on the switchboard during campus closures. Oversee and administer all public holidays and year-end messages on voicemail for incoming calls.
- Oversee and guarantee that Housekeepers receive all communications and notifications pertaining to the Campus.
- Manage Office Supplies (e.g., Stationery, Refreshments, Vending Machines)
- Manage all incoming and outgoing correspondence. Ensure that mail is consistently collected and delivered from the reception by the operations coordinator or manager.
- All correspondence shall be allocated to the relevant staff members.
- Parking allocation and management
- Management of access cards
- Deliver typing and further administrative assistance as assigned by management.
- Provide assistance with filing, printing, binding, etc.
- Be available to work hours as needed by the line manager. This may be required when evening classes are not conducted on certain days, and hours will be compensated.
Credentials and Expertise:
- National Senior Certificate (Matriculation)
- Proficiency in Computer Applications (MS Office)
- At least 3 years of experience in Reception and/or Customer Service within a medium-sized firm

The position will report to the Operations Manager at the Cape Town Campus.
Hours of Operation:
This role entails a permanent contract with full-time hours, operating from Monday to Friday according to the specified hours below*:
Monday to Thursday: 08:00 to 16:30
Fridays: 08:00 to 16:00
*This role requires flexible hours as necessary to fulfill its responsibilities.
